Job Description:
Greenwoods is seeking a Billing & Clinical Administrative assistant to join our clinical administrative office.
Essential skills for the position include careful attention to detail, customer service orientation, growth mindset, and problem-solving abilities.
Candidates must include a cover letter and resume in an application.
Billing Responsibilities Accurately bill all diagnosis and procedures from medical records with proper billing codes; utilize currently accepted structures while adhering to guidelines for correct assignment of codes.
Record maintenance, daily charges, and preparing and submitting claims to insurance companies.
Communicate directly with Clinical Office Manager about outstanding claims, notes, note signatures, billing code errors, co-pay issues, etc.
Transmit claims electronically or mails out paper claims within 48-72 hours.
Maintain payment entry on a daily basis Monitor logs to make sure claims are submitted and received properly through communication and reporting with bookkeeper.
Complete verification of employee eligibility & benefits for new clients as quickly as possible.
Correct rejected claims and re-bill in a timely manner.
Follow-up with insurance companies on unpaid claims to ensure receipt of bills.
Generate client statements as required and make financial arrangements with clients, by tracking all outstanding balances, statement dates, etc.
Enter concise and accurate notes in the billing notes section of the client account in a timely manner.
Inform Clinical Office Manager of all problems in a timely manner through bi-weekly billing meetings and reports.
Articulate knowledge and understanding of organizational policies, procedures, and systems.
Demonstrate proficiency in Microsoft Office applications and other required systems.
Administrative Responsibilities Answer clinical telephone lines and field incoming calls from clients and providers, and community members.
Schedule appointments in a timely manner; requires an understanding of the different types of appointments.
Greet clients and assist with intake paperwork.
Explain GCR's mission and the process of a mental health assessment.
Place confirmation calls for new clients.
Maintain all GCR clinical calendars for office and each individual GCR clinician.
Maintain a comprehensive clinical filing system.
Assist clinicians and APRN with referral process and other administrative needs; includes maintaining email correspondences with providers and clients.
Enter post service data.
Research additional ancillary services and provide service referrals as needed.
Undergo training in basic crisis management.
Provide office assistance as needed.
Required Skills:
Excellent communication skills (written and verbal); ability to communicate in a warm, calm and effective manner.
Proven ability to master and maintain web-based services and scheduling programs, requires attention to detail.
Careful attention to detail Proficient in Microsoft Office including Outlook, Word, and Excel A collaborative approach to work Problem solving abilities A growth mindset; openness to feedback Proficient in use of computer and office equipment; fax, copier, scanner and printer Proficient in multiple line telephone system.
Experience working in healthcare is preferred but not required.
Knowledge of coding and medical terminology.
Knowledge of and skill in using automated billing systems.
Knowledge of or willingness and ability to learn the credentialing process for behavioral health providers.
Ability to work one 10am-6pm shift per week Job Type:
